Privacy Policy
This policy explains what personal information SmartQoD collects on smartqod.com, why, where it is kept, and how you can ask us to access or delete it. We have written it in plain language and tried to describe exactly what the site does today.
Who we are
SmartQoD is proof-of-service software for commercial cleaning companies. SmartQoD is operated by The Cleaners & Co. / SmartQoD in the Orlando, Florida area. For any privacy question or request, email kiril@smartqod.com.
What we collect
Partner application and contact form (smartqod.com/partners). When you send the form we store:
- your name, company, work email and, if you add them, your title and company website;
- the partner type you choose (for example Exclusive Vendor Partner) and your message;
- technical details sent by your browser with the form: your IP address and browser user agent, and the date and time of the submission.
Spam and abuse protection. To limit repeated submissions we record a one-way, salted hash of your IP address (not the address itself) with a timestamp. These records are routinely deleted after about two days.
Invited partners. Some partners receive a private link to a page that requires signing a non-disclosure agreement. If you sign, we store the details you enter (name, title, company, email and typed signature), the date and time, your IP address and browser user agent, and a copy of the signed agreement.
We do not ask for payment details, and the "Get early access" field on the home page does not collect or send anything yet.
How we use it
- to read and reply to your message and to discuss a potential partnership;
- to keep a record of signed non-disclosure agreements;
- to protect the forms from spam and abuse.
We do not use your information for advertising, and we do not sell or rent personal information.
Where it is stored and who processes it
- Hosting: the site runs on Vercel, which processes requests (including IP addresses) to serve the pages and forms.
- Database: form submissions are stored in a database hosted by Supabase.
- Email notifications: when a form is sent, a copy of the details is emailed to kiril@smartqod.com through an email delivery service, so we can respond.
These providers process the information on our behalf to run the site. We share personal information with others only if required by law or with your permission.
How long we keep it
We keep partner inquiries and signed agreements for as long as we need them to respond to you, manage a partnership and keep business records. You can ask us to delete your information at any time (see below). Spam-protection records are deleted after about two days.
Cookies and analytics
smartqod.com does not use analytics, advertising or tracking cookies, and does not load third-party tracking scripts. Fonts are served from our own site. The only cookie is a strictly necessary session cookie set on private invited-partner pages after an agreement is signed, so you stay signed in to that page; it is not used for tracking.
QoD.ai proof-of-service pages
QoD.ai hosts the public proof-of-service pages for sites cleaned by companies that use SmartQoD. A page reached from a QR code shows information about the location and its cleaning visits, such as visit times, completed checklist items, photos and the first name of the crew member. Feedback left on a proof page, with an optional name and contact, is sent to the cleaning company that services the location. Information requests sent through the QoD.ai home page are handled the same way as the smartqod.com forms described above.
Your choices and requests
You can ask us to tell you what personal information we hold about you, to correct it, or to delete it. Email kiril@smartqod.com from the address you used, or tell us how to identify your submission. We will confirm the request and respond within a reasonable time. We may keep a record of a signed agreement where we need it for legal reasons, and will tell you if so.
Children
smartqod.com is meant for businesses and is not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has sent us information, email us and we will delete it.
Changes to this policy
If we change how we handle personal information, we will update this page and its effective date. Material changes will be noted on this page.
